1. Who we are

OnTheRoad is a mobile e-bike repair service based in Amsterdam, operated as a sole proprietorship (eenmanszaak) by Tijmen Spaargaren. KVK: 85755591 · VAT: NL004139947B93.

2. What data we collect

  • Name, email address, and phone number (WhatsApp)
  • Home address (for on-location visits)
  • Bike details (model, year, mileage)
  • Booking and payment history
  • Photos you upload as part of a repair request
  • IP address and basic usage data via server logs

3. Why we collect it

  • To book and carry out your repair or maintenance visit
  • To send you confirmations and invoices
  • To contact you via WhatsApp about your appointment
  • To comply with legal obligations (invoicing, tax records)
  • To send service reminders, only if you opted in

4. Legal basis

We process your data on the basis of:

  • Contract - to deliver the service you booked
  • Legal obligation - to keep financial records
  • Consent - for marketing communications (you can withdraw at any time)

5. Who we share data with

  • Google - calendar integration and optional sign-in
  • Meta (WhatsApp) - appointment confirmations
  • Resend - transactional emails
  • Cloudflare R2 - file storage for uploaded photos
  • Partner bike shops - if a partner shop referred you, a limited set of your details is shared with that specific shop (see section 6)

We do not sell your data to third parties.

6. Referral programme (partner shops)

OnTheRoad runs a referral programme with partner bike shops. If you reach us through a partner shop's link or QR code, we set a functional cookie that remembers which shop referred you, and — if you enter your email or phone on the referral page and confirm that the shop referred you — we record those details so we can link a later booking to that shop.

What this means for your data: if you book after being referred, we share a limited set of your details with that specific partner shop, so they can see the referral they made, receive their referral fee, and check it against their own records. The data shared with the shop is your first name, email address, phone number, the booking date and the booking status. We do not share your home address or payment details with the shop.

Your details are shared only with the one shop that referred you, never with any other partner, and only when you actively came via that shop's link/QR and provided or confirmed your details. If you book without a referral, nothing is shared with any shop. The legal basis for this sharing is your consent, which you give at the "I came via this shop" step; you can withdraw it or ask us to undo a referral at any time via repairs@ontheroadbikes.com.

7. How long we keep it

We keep your account data for as long as your account is active. Financial records (invoices, payments) are kept for 7 years as required by Dutch law. You can request deletion of your account at any time.

8. Your rights

Under GDPR you have the right to:

  • Access the data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Object to processing for marketing purposes
  • Request a copy of your data (data portability)

To exercise any of these rights, email us at repairs@ontheroadbikes.com. We will respond within 30 days.

9. Cookies

We use functional cookies necessary for the site to work (session authentication). If you visit us through a partner shop's referral link, we also set a functional referral cookie that remembers the shop's code for up to 90 days, so we can attribute a later booking to that shop (see section 6). With your consent, we also place Google Ads cookies to measure ad conversions (such as completed bookings). These are off by default and are only set after you choose "Accept all" in our cookie banner - pick "Only necessary" to decline, and the site works fully without them. We do not sell your data.

If you have a complaint about how we handle your data, you can contact the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.
